59 Productions is seeking a highly organised and motivated Administrator to support the management and administration team of this exciting and rapidly growing company. The successful candidate will help to provide the administrative and organisational core of a company working on an expanding portfolio of exciting, high profile and creatively rewarding work. This would be the ideal job for someone with 1-2 years of professional experience looking to build a successful career in arts administration.

We work with some of the most highly regarded organisations in the world including the V&A, National Theatre, Metropolitan Opera, Historical Royal Palaces and Metropolitan Museum of Art to produce work that constantly pushes the boundaries of innovation and creativity.

Overall purpose of the job:

To assist the Creative Directors, General Manager and other company members in the scheduling and administration of all 59 projects, including financial administration. To work as a cohesive member of the team and provide support and facilitation across a range of projects and company tasks as required.

Day to day responsibilities will include but not be limited to:


  • Checking availability of freelancers & maintaining associated database
  • Drafting contracts for freelancers
  • Maintaining project schedules
  • Diary management for senior staff
  • Scheduling meetings, providing refreshments and taking minutes where necessary
  • Scheduling and booking travel, accommodation etc
  • Arranging visas etc. for travel

Financial Administration

  • Tracking receipts
  • Coding & entering invoices into Quickbooks software
  • Reconciling the bank account
  • Producing short term cash-flow forecasts 
  • Chasing aged debtors

HR & Recruitment

  • Posting job adverts
  • Scheduling interviews

PR & Press

  • Maintaining a list of current projects and their press status for PR

 General Assistance

  • General office assistance: maintaining stationary and kitchen supplies, preparing the office for meetings, providing tea, coffee etc.
  • Receiving all post and deliveries to the studio
  • Arranging couriers
  • Filing, record keeping and document management
  • Maintaining the general appearance of the studio
  • Any further general or administrative tasks as reasonably requested



  • Excellent administration skills and attention to detail
  • Experience of planning and scheduling in a busy office environment
  • Experience booking and administrating complex travel schedules
  • Proficient in various software including Microsoft Office suite
  • A proven ability to work under pressure and to prioritise workload accordingly
  • A high level of literacy and numeracy
  • Excellent organisational skills
  • Excellent interpersonal skills


  • Experience in book-keeping / financial administration
  • Experience using Intuit Quickbooks software
  • A knowledge of and interest in the performing arts, exhibitions or design sectors

59 takes on design interns on a rolling basis for periods of between 3 and 6 months to assist with our creative work across a range of projects.  We would welcome applications from anyone interested in pursuing a career in this area.
