SALARY:
Band G £42,000 – £60,000

REPORTS TO:
Managing Director, Board of Directors

LINE MANAGES:
Administrator, Administration Intern, Operations and Production Associate (New York based), Senior Designers

OVERALL PURPOSE OF THE JOB

Day to day management of the company including playing a leading role in all financial operations, maintaining oversight on all HR matters pertaining to both permanent and freelance staff and providing a clear and positive leadership presence.  To promote and maintain an organisational culture which values the highest standards in both executing the artistic vision of the company and promoting a culture of collaboration and mutual support among employees.

DAY TO DAY RESPONSIBILITIES

Financial Management

  • Oversight of all financial processes from day to day book keeping through to high level strategy and forecasting
  • Working in tandem with the Managing Director and Finance Director to maintain a broad and strategic financial overview of the company
  • Preparing financial reports including management accounts and cash flow forecasts that facilitate short and long term financial forecasting
  • Maintaining the company’s domestic and international tax compliance in coordination with the company’s accountant and US consultant
  • Management of the company’s pension scheme

Company Management

  • To play a key role in contributing to high level company management discussions
  • Acting as one of the company’s two health and safety representatives and working to ensure H&S policies are up to date and observed by staff
  • Creating and maintaining company policies
  • Providing advice and expertise on matters pertaining to contracts, in coordination with the company’s agent
  • Carrying out all work associated with securing the company’s annual insurance policy
  • Overseeing the day to day management of the studio including management of service and supplier contracts and relationship management with the landlord

HR & Recruitment

  • Line management of the Administrator, Administration Intern, Operations and Production Associate (New York based), and Senior Designers
  • Sign off on all permanent, fixed term and freelance contracts
  • Identifying opportunities for professional development and encouraging employees to do the same
  • Leading on performance reviews for all direct line managees and attending all other staff performance reviews in an HR capacity
  • Leading on internal HR matters such as employee welfare etc. and reporting concerns or observations to the Directors
  • Leading on all company recruitment including overseeing the creation of job descriptions and adverts, ensuring they are distributed using the appropriate channels, conducting interviews etc.
  • Maintaining employer compliance
  • Maintenance of company HR policies

Leadership

  • To foster an energised and positive environment that encourages the best from staff at all levels
  • To operate an accessible ‘open door’ policy and encourage the input and sharing of ideas by colleagues of all levels

Planning

  • Preparing reports and assisting with long term company planning
  • Producing strategy documents as required

 

PERSON SPECIFICATION

Essential

  • Experience of working in a similar senior management capacity within a creative organisation
  • A detailed understanding of company financial management and reporting including understanding and applying rules of UK taxation
  • Proven leadership skills with the ability to define and articulate strategies and processes for the future and the skill, passion and empathy to foster a positive and productive working environment
  • Line management experience, including management of senior creative staff
  • Significant experience in contract management, including but not limited to employee and freelance HR contracts, project contracts, NDAs and service contracts
  • The capability to think and act strategically, creatively and commercially
  • The ability to manage a broad and complex workload with multiple and varied deadlines
  • A versatile and adaptable approach to work with excellent problem solving abilities
  • The ability and willingness to learn new processes as they present themselves
  • An interest in and passion for the creative work of 59 and a clear understanding of the company’s place in the wider cultural sphere
  • The focus and tenacity to push through complex procedures

Desirable

  • Experience of dealing with international tax and financial compliance
  • Experience of using project management software
  • Health and Safety qualification
